We know that you care about how your personal information is collected, used, and shared, and we appreciate your trust in allowing our website to do so. We take your privacy very seriously, and are committed to safeguarding the privacy of your information with the utmost priority, respect, and discretion.

This privacy policy explains how heldretreats.com (hereafter referred to as the Website) uses the personal data collected from you when you visit our website. By visiting the Website, you hereby accept the terms of and practices detailed in this Privacy Notice.

Why does heldretreats.com gather Personal Information?

We continually strive to improve the Website based upon feedback that we receive from customers and users. As such, the personal information that we learn from our customers, clients, and visitors, is used to improve the Website, personalise your experience, and to improve customer service. Furthermore, we may use the personal information identified below to process transactions, and send periodic emails.

Nevertheless, we do not sell your personal information. We share it only where it is necessary to deliver the products and services you have requested, with the service providers and partners described in this policy, or where we are required to do so by law. Any email address that you provide may be used to process order(s), to send you information and/or updates regarding your order(s), and to keep you informed of and up to date with news about the Website, Held Retreats, and/or any related products or service information. We may send emails containing newsletters, promotions, or special offers. If you do not want to receive such messages, you always have the option to opt out or change your preferences (other than those for receipt of services or products).

What Personal Information Does heldretreats.com Gather?

Heldretreats.com gathers information when you register on the Website, place an order, subscribe to our newsletter(s), and/or fill out a form. In doing so, we receive and store any information that you enter on our Website and/or give us in any way.

You can visit the Website anonymously, or choose to not provide our site with any piece of information, but then you might not be able to take full advantage of our features, products, or services. We use this information in order to effectively respond to your requests, customise your use of the Website, improve my services, and to communicate with you.

Information That You Provide To heldretreats.com

You provide most information when you search, buy, post, or communicate with us. For example, you provide information when you search for a product; place an order through the Website or one of our third-party sellers; provide information for your order, account, and/or profile; communicate with us by phone, e-mail, or otherwise; complete a questionnaire; use our services; participate in discussion or community features; or provide and rate reviews. As a result of those actions, you might supply us with such information as your name, address, and phone numbers; credit card information; people to whom purchases have been shipped, including addresses and phone number(s); e-mail addresses of your friends and other people; content of reviews and e-mails to us; personal description; and financial information.

Health and Dietary Information

When you book a retreat, we ask you to complete an intake form that includes questions about your health. This may include medical conditions, injuries, medication, allergies, dietary requirements, mental health history, and the details of an emergency contact.

We collect this information so that we can keep you safe during the retreat, adapt activities where needed, cater for your dietary requirements, respond appropriately in an emergency, and meet the standards of care expected of us as a retreat provider. We do not share this information with our insurance provider.

Health information is treated as a special category of personal data under data protection law. We collect and use it only with your explicit consent, which you give when you submit your intake form. You can withdraw your consent at any time by emailing hello@heldretreats.com. Please note that if we are unable to hold information that is necessary for your safety, we may not be able to proceed with your booking.

Access to this information is limited to Simone and the retreat facilitators, who need it in order to keep you safe during the retreat. Where you have allergies or dietary requirements, we share only the details relevant to your meals with the chef. If it is necessary to protect your health or safety, for example in a medical emergency, we may share relevant health information with a doctor, therapist, or emergency services.

We keep your completed intake form for three years after your retreat ends, after which it is deleted. Dietary and allergy information shared with our chef is deleted at the end of each retreat.

Information From Third Parties

We may obtain information about you from third parties. For example, if you access the Website through a third-party (e.g., Facebook, Instagram, etc…) by “following” and/or “liking” our Website, and/or Held Retreats, the relevant third party may transfer certain information about how you use its service. This information can include, but is not limited to, your relevant user ID, information that you have permitted said third party to share with us, and any information that you have made public in connection with that service. As such, it is a good idea to always review and adjust your privacy settings on third-party websites and/or services before connecting to another product or service.

Other examples of information that we receive from third parties includes updated delivery and address information from my carriers or other third parties, which we can use to correct our records and deliver your next purchase or communication more easily; account information; purchase or redemption information; and/or any financial information that we can obtain to help prevent and detect fraud.

Advertising on Meta Platforms (Facebook and Instagram)

We advertise Held Retreats on Facebook and Instagram, which are owned by Meta Platforms, Inc. ("Meta"). To do this we use Meta's business tools, and this means certain information about your interactions with our Website and our business is shared with Meta.

Meta Pixel. We use the Meta Pixel, a piece of code on our Website that uses cookies and similar technologies to record actions you take here, such as viewing a retreat page, starting a booking, submitting an enquiry form, or completing a purchase. This allows us to measure the effectiveness of our advertising, show you relevant ads on Facebook and Instagram, and build audiences of people with similar interests. The information shared with Meta may include your IP address, browser and device information, the pages you visited, the actions you took, and identifiers stored in cookies.

Meta Conversions API. We may also send information about these same actions to Meta directly from our servers rather than from your browser. Where this includes information such as your email address, name, or phone number, it is hashed (converted into a scrambled, non-readable form) before it is sent, and is used by Meta to match the action to a Facebook or Instagram account.

Custom and Lookalike Audiences. We may share a list of contact details, such as email addresses, with Meta so that we can show ads to our existing subscribers and guests, exclude them from certain campaigns, or reach new people with similar characteristics. Contact details are converted into a scrambled, non-readable form before they are uploaded, so Meta does not receive readable email addresses from us. Before sharing any contact details with Meta for this purpose, we check that the people concerned have subscribed to our mailing list or booked with us, and that they have not asked to be excluded from marketing.

Lead forms. If you submit your details through an advertisement form on Facebook or Instagram, Meta passes those details to us and we use them to respond to your enquiry and, where you have agreed, to send you marketing communications. Meta's own handling of that information is governed by its privacy policy. You can read how Meta uses data in its Privacy Policy at https://www.facebook.com/privacy/policy and manage what you see and how your data is used in your Facebook or Instagram account settings, including Ad Preferences and Off-Facebook Activity.

How to opt out

You can decline or withdraw consent for advertising cookies at any time through the cookie settings on our Website.

You can adjust your advertising preferences directly with Meta at https://www.facebook.com/adpreferences.

You can ask us to remove your contact details from any advertising audience we maintain by emailing hello@heldretreats.com.

Unsubscribing from our emails will also remove you from marketing audiences built from our email list.

Third-Party Tools for Data Processing

We use third-party services to help manage bookings, communications, and guest information. WeTravel is used to receive and process retreat bookings securely. Flodesk is used to manage email communications, including newsletters and updates, and your email address is stored with them. We also use Google Sheets to organise guest information, including flight details and retreat logistics. These services act as data processors on our behalf, and their privacy practices can be viewed via their respective privacy policies.

This includes exchanging information with other companies and organisations to prevent fraud and reduce credit risks. Nevertheless, we will never sell, rent, share, or otherwise disclose any of your personally identifying information for commercial purposes in violation of the commitments set for in this Privacy Notice.

With Your Consent: Other than as set forth herein and above, you will receive notice when information about you might go to third parties. In these cases, you will have an opportunity to instruct us to not share the information, or any portion thereof.

These third party sites have separate and independent privacy policies, including differing terms regarding the usage and retention of cookies, and sharing of personal information. As such, we have no control over, responsibility for, or liability of the activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites. Some third-parties may provide us information about you (such as the sites where you have been shown ads or demographic information) from offline and online sources that we may use to provide you more relevant and useful advertising.
